The Three-Layer Documentation System

Layer 1: Milestone CheckpointAt each project milestone, send a brief update. State what was completed, reference the original scope, and note the date. This creates a progress trail regardless of the final outcome.
Layer 2: Delivery ConfirmationWhen submitting work, request a brief acknowledgment. "Please confirm receipt" is a professional standard. It shifts the responsibility of acknowledgment to the client.
Layer 3: Approval TrailFor revisions and final sign-off, get written confirmation that the client approves the current version. This protects you from future claims that the work was incomplete.

Milestone Update

Send this at key completion points during a project.

"Quick update on [project name]. Completed as of [date]: [list items]. This covers [reference to scope]. Next milestone: [what comes next]. Let me know if you have any questions before I move forward."

Final Delivery Message

Use this when submitting the final deliverable.

"The work is complete and attached here. Delivered: [list final deliverables]. Per our agreement: scope [reference], payment due [date]. Please confirm receipt and let me know if anything is unclear before I send the invoice."

Requesting Sign-Off After Revisions

Use this after completing the final round of revisions.

"I have made the adjustments we discussed. This is the final version per our [X] revision agreement. Please confirm that this version is approved so I can mark the project as complete and process the final invoice."

When Acknowledgment Is Delayed

When a client goes quiet after receiving work.

"Following up on my delivery from [date]. Could you confirm receipt of the files? I want to make sure everything arrived correctly before the invoice due date. Let me know if anything needs clarification."
